The Position

Stand for Children seeks a motivated, driven professional to be the State Operations Coordinator for the Illinois affiliate. 

 

 

Responsibilities

Executive Support:

  • Maintaining the Illinois Executive Director’s schedule, coordinating team calendars, and scheduling meetings and calls among staff and with funders, coalition partners, elected officials, and others;
  • Helping with meeting preparation and follow-up;
  • Supporting development efforts;
  • Receiving and promptly processing media inquiries;
  • Making sure team timesheets are submitted on time;
  • Preparing accurate and timely expense reports for several members of the Illinois team;
  • Managing travel logistics; and
  • Providing other project and administrative support as needed.

 

Operations and Office Management:

  • Creating, implementing and managing office systems;
  • Providing responsive customer service to the public by greeting visitors, answering phones, and managing general inquiry e-mail account;
  • Coordinating all office purchasing and supplies and ensuring they are within budget;
  • Managing relationships with vendors;
  • Managing technology systems at the local level, including copier, phone system, and database;
  • Working with off-site technology staff to coordinate equipment and technology troubleshooting;
  • Coordinating with the other Stand teams on onboarding of new staff and managing office layout and resources; and
  • Planning and overseeing office outings and activities.

Event and Project Management:

  • Playing a key role in planning a wide variety of high-stakes and impactful activities such as working with the family engagement and organizing staff on summer literacy and member events on the south and west sides of Chicago, assisting the communications team with press events across the state, helping the government affairs team with mobilizations at the state Capitol, and occasional support on canvassing and phone banks.

 

Cohort Participation:

  • Participating in monthly cohort calls for professional development, job-specific training, and shared services discussions; and
  • Facilitating the sharing of information across states, and general support of others in role.

 

The State Operations Coordinator will be based in Chicago, Illinois and will report to the Illinois Executive Director.

Qualifications

  • Minimum of two years of professional administrative/executive support experience;
  • Strong writing skills;
  • Comfort with technology and willingness to learn internal time sheet, expense reporting, finance, and conferencing systems;
  • Adept at Microsoft Office, particularly Outlook, Excel, PowerPoint and Word;
  • Exceptional organizational skills, keen attention to detail, proactive problem-solving skills, and exemplary customer-service orientation;
  • Ability to gracefully manage multiple tasks and projects under pressure and on deadline;
  • Comfort with following through on commitments to others and accepting and incorporating direct feedback;
  • Strong aptitude and desire to implement office operations and systems, identifying inefficiencies and system improvements as needed; and
  • Strong commitment to and alignment with Stand for Children and Stand for Children Leadership Center’s shared mission vital.
  • Fluency in Spanish is beneficial.
  • Experience with Salesforce.com and voter files is helpful.
  • A flexible schedule for the exceptional candidate will be considered. At the same time, the occasional weekend or early/late hour commitment will be required, but advance notice will be provided.
